Solutions to common issues with AI Meeting Assistant.

Bot Not Joining Meetings

The bot didn't join my meeting

Possible causes and solutions:

  1. Calendar not connected

    • Go to Settings > Integrations
    • Check that your calendar is connected
    • Reconnect if necessary
  2. Auto-join disabled

    • Go to Settings > Meeting Assistant
    • Ensure auto-join is enabled for your meeting platform
  3. Meeting excluded by rules

    • Check if your meeting title contains [norecord]
    • Review your exclusion rules in settings
  4. Meeting platform not supported

    • Ensure you're using Zoom, Google Meet, or Microsoft Teams

Tip

You can always manually invite the bot by sharing the meeting link in the Laxis dashboard.

The bot joined but left immediately

This usually happens when:

  • The meeting requires a password the bot doesn't have
  • The waiting room is enabled and the bot wasn't admitted
  • The host hasn't started the meeting yet

Solution: Ensure waiting rooms are configured to auto-admit the Laxis bot, or manually admit it when it joins.

Audio Issues

No audio was recorded

Check these settings:

  1. Ensure the meeting had audio enabled
  2. Verify the bot had microphone permissions
  3. Check that participants weren't all muted

Poor transcription quality

To improve quality:

  1. Use a good quality microphone
  2. Minimize background noise
  3. Speak clearly and avoid talking over others
  4. Check your internet connection

Transcription Issues

Wrong speaker labels

To fix speaker labels:

  1. Open the transcript
  2. Click on the incorrect speaker label
  3. Select the correct speaker from the list
  4. The AI will learn from your corrections

Missing parts of the conversation

This can occur due to:

  • Network interruptions during the meeting
  • Very low audio levels from some participants
  • Technical issues with the meeting platform

Solution: Check the original recording (if available) and manually add missing content.

Transcription in wrong language

To fix:

  1. Go to the meeting settings
  2. Select the correct language
  3. Request re-transcription

Sync Issues

Recordings not appearing in dashboard

Try these steps:

  1. Refresh the page
  2. Check your internet connection
  3. Wait a few minutes (processing can take time)
  4. Log out and log back in

If recordings still don't appear, contact support.

Calendar events not syncing

  1. Disconnect and reconnect your calendar
  2. Check that the correct calendar is selected
  3. Ensure you have the right permissions granted

Error Messages

"Unable to join meeting"

Error Code Meaning Solution
E001 Invalid meeting link Check the meeting URL
E002 Meeting requires password Add password to settings
E003 Meeting ended N/A - meeting already finished
E004 Platform error Try again or contact support

"Transcription failed"

This error occurs when:

  • The audio file is corrupted
  • There was no audio in the recording
  • A processing error occurred

Solution: Try re-uploading the recording or contact support.
